CorteX Repair Intake – System Guide

Official documentation for the CorteX Repair Intake WordPress plugin. Learn how to install, configure shop settings, and manage daily repairs for Computer, Mobile, or Auto Care centers.

1. Overview

CorteX Repair Intake is a specialized WordPress management system tailored for repair service centers. It streamlines the process of receiving devices, tracking repair status, and invoicing customers.

Multi-Shop Support: This system supports both Tech Repair (Phones/Laptops) and Auto Care (Garages) modes. You can switch modes in the settings.
  • Create professional Job Cards with pattern lock and checklist.
  • Track status with color-coded pills (Received, Repairing, Ready).
  • Send automated SMS & WhatsApp alerts via Notify.lk.
  • Generate Tax Invoices with separate parts/labour costs.

2. Requirements

Ensure your hosting environment meets these standards:

WordPress & Server

  • WordPress 6.0+
  • PHP 8.0+ (Recommended)
  • MySQL / MariaDB Database
  • HTTPS (SSL Certificate) - Required

Hardware

  • Desktop PC, Laptop or Tablet
  • Thermal Printer (80mm) or A4 Printer
  • Barcode Scanner (Optional)

3. Install & Update

Installation Guide

  1. Log in to your WordPress Admin Dashboard.
  2. Navigate to Plugins → Add New → Upload Plugin.
  3. Select the cortex-repair-intake.zip file.
  4. Click Install Now and then Activate.

Updating

  1. Go to Plugins and click Update Now if a new version is available.
  2. Or manually upload the new zip file to replace the old one.

Backup First: Always backup your database before updating on a live site.

4. Initial Shop Setup

Shop Details

Go to Repair Intake → Settings. Enter your Shop Name, Address, Phone and Tax Number (TIN). Upload your logo for receipts.

Shop Type Mode

Select your business type: Computer/Mobile or Auto Care. This adjusts the input fields (Serial No vs License Plate).

SMS Configuration

Enter your Notify.lk API Key and Sender ID to enable automated SMS alerts.

5. Daily Workflow

5.1 Receiving a Device (Intake)

  1. Click Add New Job.
  2. Enter customer mobile number (auto-fills if exists).
  3. Enter Device details (Model, Serial/IMEI, Password).
  4. Select Pre-Repair Conditions (Scratches, No Power, etc.).
  5. Click Save Job and print the Intake Receipt.

5.2 Completing a Job

  1. Open the job and click Edit.
  2. Enter the Technician Note and Diagnosis.
  3. Add Labour Charges and Spare Parts Costs.
  4. Change status to Ready for Pickup (Sends SMS).

6. Status & SMS Automation

The system automatically triggers actions based on status changes:

  • Received: Sends "Welcome / Device Received" SMS.
  • Ready for Pickup: Sends "Your device is ready. Total: Rs. XXX" SMS.
  • Collected: Marks the job as closed and revenue is recorded.
  • Cannot Repair: Sends "Device cannot be repaired" alert.

7. Reports & Finance

Track your shop's performance via the Reports tab:

  • Daily Income: Total cash collected today.
  • Profit Breakdown: View Service Income vs Parts Cost separately.
  • Pending Jobs: See value of jobs currently in the workshop.

8. Data & Backups

Your repair data is stored in your WordPress database.

  • Use a plugin like UpdraftPlus to schedule daily backups.
  • Export your Repair Jobs list to CSV from the "All Jobs" screen for offline records.

9. FAQ

Can I use this for multiple branches?
Yes, but we recommend separate installations for each branch to keep ticket numbers and income reports distinct.
Does it work with a Barcode Scanner?
Yes. You can scan the barcode on the printed Job Card to instantly open the job on your screen.
